As in previous years, we are planning for a seminar program for the visitors to the fair. Here the exhibitors have the chance to present various destinations, products and tours to an interested audience. This allows the exhibitors to increase the exposure of their operation and products, as well as getting in personal contact with visitors who take special interest in their products.
Meeting room
For the moment, we have access to three meeting rooms, but if the demand is higher, it can be extended to four. The meeting rooms shall be located in the exhibition hall, in short distance and easy to find for the visitors. Besides there shall be coordinators present to guide those being interested in attending.
The program in each room shall also be easy visible on screens/boards outside the rooms. The meeting rooms shall be built with glass walls, preventing from noice, but allowing to look inside, making this an integrated part of the action in the exhibition hall.
Each meeting room has a capacity for an audience of 80-100 persons.
The meeting rooms are equipped with a large screen for presentations, speakers, cable connections for sound and images, as well as microphones for presenters. However, the presenters need to bring their own laptop.
Time frame
For each seminar, we have the following time frame:
- 30 minutes for the presentation itself.
- 15 minutes for any questions and answers.
- 15 minutes for the next presenter to prepare.
This means that new seminars are starting in each seminar room every hour, with the starting time being every xx.00 or xx.30.
Schedule
The opening hours of the fair are the following:
- Friday March 20: 13.00 – 19.00.
- Saturday March 21: 10.00 – 18.00.
- Sunday March 22: 10.00 – 16.00.
The seminar program shall start no earlier than half an hour after the opening and finish no later than half an hour before closing.
Costs
The price per seminar is the following:
- Single seminar: NOK 1.200,- + vat.
- Several seminars: NOK 1.000,- + vat per seminar.
- Same seminar repeated on various days: NOK 1.000,- + vat per seminar.
- Separat seminar room at your own disposal during the fair: To be agreed.
The price covers the use of the seminar room, technical equipment, coordination and follow up, as well as promoting the seminar to potential and actual visitors at the fair.
Promotion
The seminar program shall be promoted, both as part of the fair and as a separate product.
The promotion shall include such as the following activities:
- In a separate editorial about the program in travelxpo.no
- In a separate overview of the program in travelxpo.no
- In a separate overview of the program in the magazine for the fair (a printed magazine, delivered to all visitors).
- In a separate item in the newsletter targeting potential visitors ahead of the event.
- In separate postings through TravelXpo’s social media channels.
- Highlights from the program on big screens in the glass passway during the fair.
Deadlines
The option for using a meeting room for presentations is based on the principle «first come – first served», while at the same time there shall be a focus on variety among topics and presenters.
To have a priority to be included in the seminar program, registration need to be confirmed no later than December 1, 2025.
The coordinator shall adapt and balance the program and offer time slots for the various presenters in a dialogue with them.
The final program, including titles and name of presenters need to be ready no later than January 25, 2026. Shortly after this, the program shall be finalized and created for starting the promotion directed at the target groups, both using digital platforms and in the printed magazine for distribution during the event.
Coordination
To secure a best possible balance in the program and a smooth performance during the event, ASB consult shall be handling the coordination, both before and during the event.
